Supported Integration(s): NetSuite
Companies with Purchase Order Matching enabled have an additional view within the new Invoice Details page, allowing them to review and manage POs that are associated with their invoice. This page gives an overview of those different elements and features.
Purchase Order Views
The Purchase Order tab can be found next to the documents tab within the Invoice Details page. Within this tab, users can manage their associated Purchase Orders from both a top level view, as well an individual PO Level.
-
View All: View all POs associated with your invoice.
- How to use: This is the default view when a user opens the Purchase Order Tab.
-
View PO: View an individual PO and all details associated with it, including header and line level information.
- How to use: From the View All mode, click the PO Number that you want to examine.
Purchase Order Actions
Within the PO Tab, users have a set of actions available to them they can use to manage their Purchase Orders and associate them to their invoice lines.
Add PO
The Add PO button allows users to associate an eligible Purchase Order to the invoice via a dropdown menu.
Relink
Relink not available as a part of initial launch - we will add more information once it is added.
Link Lines
Allows users to link PO lines to invoice lines - see PO Linking section below for more details.
Remove PO
Only available after selecting a PO, this action allows you to remove Purchase Orders from your invoice.
PO Linking
We have redesigned our PO functionality within our new view. This section is broken down into two sections: managing existing links and making a new match.
Managing PO links
Within the invoice view, users can view information about their line level matches and the specific PO Line it corresponds to. Users can use the PO tab to view the specific PO that the match marker indicates.
When a mismatch is present, the incorrect filed will be highlighted in red. Additionally, users can click on the alert icon to learn more information about why a mismatch has occurred.
Cost per matching corresponds to tolerance level set in company settings.
When a line is perfectly matched, a green check icon will appear within the match marker, indicating that no further action is needed from a matching perspective.
Additionally, if a user wishes to unlink a line, they can click the x button, to the right of the LINKED text.
Making new PO links
We’ve introduced a new matching functionality within our Invoice Details view, accessible from the PO Actions dropdown menu. Selecting “Link Lines” will enter the Linking State and allow users to match PO and invoice lines by selecting the matching items.
In the Linking State, users may select unlinked invoice or PO lines to create a match. Users may link as many lines as they would like when they are in this linking state.
Once linking is complete, users can select the Close button, which will take them out of the Linking State, and save their matches.
