Overview
Data that flows into MineralTree has to be formatted in a specific way to be imported correctly into the system. The data files also need to be imported to the SFTP to be picked up by MineralTree in a particular order due to the dependencies of some data on other data. This allows the product to reference necessary information. For instance, Invoices require a vendor to be specified, so the vendor must have been uploaded prior to importing an invoice.
Export your data from the ERP
In order to get your information into MineralTree, you need to export the data from your ERP, format it into the correct file templates, and import it into the SFTP where MineralTree will pick it up and add it into the system. The ideal scenario is to export data from your ERP in a format that matches the format of the file templates so you don't have to spend time reformatting CSV files. This becomes especially important after the initial big import of data because you will occasionally have to export data from your ERP to the SFTP occasionally (e.g. new vendors, new GL accounts etc).
Preparing your file templates for the initial import
As mentioned previously, the files have to be uploaded in a specific order for the initial import. The other important thing to note is that the information in these templates has to be very specifically formatted since much of the data refers to data in different files.
An initial import will be performed with the MineralTree implementation manager of the following sets of data. These files will be reviewed with the implementation manager prior to being uploaded for any changes or updates to the customer’s process.
- Payment Accounts
- GL Accounts
- Items
- Payment Terms
- Dimensions: Departments, Locations, Classes (if applicable)
- Vendors
- Invoices
- Purchase Orders
You can find the templates for Invoice to Pay attached below. You'll find instructions on the bottom of each csv indicating what is mandatory and any specifications around each file.
