Document Extraction Failure Notification Guide

Summary: This guide explains what happens when MineralTree cannot extract documents from an emailed submission and how to receive alerts when this occurs.

 

Overview

When documents are emailed into MineralTree, the system attempts to read and extract them. Sometimes the system cannot extract any documents. These issues can be hard to notice because the sender does not receive an error message.

To help identify these situations, MineralTree offers an Extraction Failure Notification. This alert tells your team when an email arrives but no documents can be extracted. This allows your team to respond quickly by resending the documents or contacting Support.

The Extraction Failure Notification is sent when:

  • An email is delivered to your MineralTree inbox
  • No documents can be extracted from that email

 

Extraction Failure Email Example

When this feature is enabled, users receive an email any time MineralTree cannot extract documents from an incoming message.

The notification includes:

  • Sender email
  • Email subject
  • Date and time received
  • A short explanation of the failure when available

If the extraction should have worked, you can forward the notification to Support. The failure details are included automatically so Support can look up the specific email and determine the issue.

How to Enable Notifications

Only MineralTree Support can enable this setting. If you want this feature turned on, please contact Support. You can choose who receives the alerts:

  • Accounting Managers
  • Company Admins
  • Or both

What causes document extraction failures?

Common causes include:

Zix Secure Email Messages

Zix encryption can hide attachments behind a secure link. MineralTree cannot extract files that are not directly attached.

Outlook winmail.dat Files

Some versions of Outlook convert attachments into a winmail.dat file. MineralTree cannot extract documents from this file type.

How can I prevent extraction failures?

  • Ask the vendor to resend documents as standard PDF or image attachments
  • Turn off RTF formatting in Outlook to prevent winmail.dat files
  • Contact Support if the issue continues
